Meeting Minutes: July 24, 2003 Memo for: Business Continuity Plan Management Committee Subject: July 24, 2003 Meeting 1. A meeting of the Business Continuity Plan Management Committee was held on Thursday, July 24, 2003 in Room 112 Cone Center. 2. Attendance: a. Present: Susan Brooks, Rick Conboy, Ted Elling, Barry Godlewski, Lee Gray, William Harper, Carter Heath, Tony Hoppa, John Mack, Charlie Puckett, Mark Reynolds, Morgan Roseborough, Randy Ross, Gary Stinnet, Doug Thomas. b. Absent: Mary Allen, Kathi Baucom, Barbara Edwards, Ted Elling, Ray Galleno, Jon Hawn, Bill Hill, Michelle Howard, Phil Jones, Tom Lamb, Steve Mosier, Anthony Purcell, Wally Seigler, Laura Simic, and Darren Spease. 3. Main topics / issues: A. Business Continuity Plans for Critical Business Processes (with RTO’s within the first 14 days following a disaster). Morgan displayed a chart showing which critical processes have been submitted. Those with RTO’s between 8 and 15 days following a disaster are due by July 31st. The goal is to have all of these completed by the end of September. The status chart is located on the BCP Web Site at http://www.uncc.edu/bcp. B. The Campus Emergency Response Plan will be briefed to the Chancellor for his approval following this meeting. C. Division / Department Data Backup + BCP Storage. A fire resistant cabinet will be moved from Barnard to Facilities Management (Server Room) after the 25th of July. Departments / Units may store backup data (tapes or disks) in this cabinet. D. Update on BCP Software. Morgan announced that the RFP for the software should be released within the next week. However, funding for this software has yet to be identified. E. BCP Web Site. Morgan discussed the web site and informed members of the new link to OSHA’s Evacuation Planning Matrix. This matrix should be useful to those are developing evacuation plans for specific buildings. F. BCP Workbook and BCP Planner. Both are available via the BCP web site. We will use the Planner in lieu of BCP software (until it becomes available). The Workbook is an instructional guide that explains what information should be placed in the planner. Academic departments and administrative units should complete the Planner for their operations by the end of October. 4. The committee engaged in a table top exercise based on a scenario involving a hurricane. Using the draft Emergency response plan, the committee determined the nature of the incident, who should be notified, what specific actions should be taken, additional personnel to be brought into the process, and alternative communications possibilities. The scenario also included a student medical emergency. 5. The next meeting of the BCP Management Committee will be Friday, August 29, 2003, at 10:00 AM. Location will be announced.
