Subject: June 27, 2003 Meeting
1. A meeting of the Business Continuity Plan Management Committee was held on Friday, June 27, 2003 in Room 112 Cone Center.
2. Attendance: a. Present: Mary Allen, Kevin Carraway, Rick Conboy, William Harper, Jon Hawn, Carter Heath, Tony Hoppa, Michelle Howard, Charlie Puckett, Anthony Purcell, Mark Reynolds, Morgan Roseborough, Randy Ross, Wally Seigler, Laura Simic, Darren Spease, Gary Stinnet, Doug Thomas, Richard Yount. b. Absent: Kathi Baucom, Susan Brooks, Barbara Edwards, Ted Elling, Ray Galleno, Barry Godlewski, Bill Hill, Phil Jones, John Mack, Steve Mosier, Tom Lamb,
3. Main topics / issues: A. Business Continuity Plans for Critical Business Processes (with RTO’s within the first 7 days following a disaster). Some plans have been received. Others are due on 30 June. Morgan addressed the fact that emergency generators installed on campus buildings produce only enough power to provide basic lighting to facilitate safe evacuation. They are not capable of providing power to computers, copiers, fax machines, etc. Charlie Puckett provided a list of emergency generators on campus.
B. Division / Department Emergency Contacts. These need completion in some cases. An automated messaging service was addressed as an alternative to a telephone tree. One such service may be found at http://www.emergencyemail.org.
C. Division / Department Data Backup + BCP Storage. A fire resistant cabinet will be available in Facilities Management within two weeks. Departments / Units may store backup data (tapes or disks) in this cabinet.
D. Update on BCP Software / alternative. Kevin Carraway announced that the RFP for BCP software will not be released until next month. Morgan announced that he has received permission from Judson Freed, author of the BCP format developed by University of Minnesota, to modify and begin testing. We will not have to wait for a license to do this. We intend to purchase a license in the near future. Draft copies of this planning format will be available for download from the BCP web site as early as next week.
E. New BCP Web Site. Morgan demonstrated the new BCP web site for the committee. It will be accessible from the University home page under Business Affairs and should go live next week.
4. The committee engaged in a table top exercise based on a scenario involving a student occupation of the Reese Building. Using the draft Emergency response plan, the committee determined the nature of the incident, who should be notified, what specific actions should be taken, additional personnel assets to be brought into the process, and alternative communications possibilities.
5. The next meeting of the BCP Committee will be Thursday, July 24, 2003, at 10:00 AM, in Room 112, Cone Center.
